Founded in 1932, the South Bend Symphony Orchestra performs approximately 20 concerts annually, for more than 30,000 audience members, including over 5,000 children. The two main performance homes include the beautifully restored Morris Performing Arts Center, located in the heart of downtown South Bend, and the modern DeBartolo Performing Arts Center, located on the University of Notre Dame campus. The orchestra’s highly qualified musician pool is drawn from a large multi-state area. The SBSO is Michiana’s premiere professional orchestra, with a mission to engage the community in the exploration of orchestral music in all its forms.

JOB DESCRIPTION

ORGANIZATION:  South Bend Symphony Orchestra                              

TITLE:  Office and Records Associate

DATE:  August 2019

SUMMARY

The Office and Records Associate is responsible for providing support in various marketing and development activities of the organization, as well as office operations.  This is a 25 hrs/per week part-time position.

Duties and Responsibilities

  • Serve as a receptionist and customer service representative, answering the telephone and door, directing inquiries to the appropriate staff member, and sorting daily incoming mail.
  • Maintain SBSO’s customer database Patron Manager, ensuring data entry standards and accuracy.
  • Provide essential data entry and clerical assistance to both Development and Marketing departments, including:
    • Enter/process incoming ticketing (single ticket, subscriptions, group sales, etc.) orders and generate relevant receipts, invoices, and reports.
    • Enter/process incoming donations and manage invoicing and acknowledgement letters, in collaboration with Development team.
  • Prepare bank deposits and process credit card payments.
  • Assist Marketing with subscription renewal and new acquisition efforts.
  • Complete various reporting and data management tasks, including pulling customer/donor reports, requesting/importing reports from SBSO performances, etc.
  • Ensure that postage machine is adequately funded and prepare daily mail placards for mail house.
  • Serve as liaison with mail house, office landlord and all other services, including cleaning and water delivery. 
  • Provide support to other SBSO departments, as necessary.

Perform other duties as assigned.

 

Reporting Relationship: The Office and Records Associate reports to the Executive Director.
